PTA BOARD POSITION DESCRIPTIONS

ALL BOARD POSITIONS:

 

Canva & Communications Process:

 

  • All Canva graphics must be created in both English and Spanish.
  • Please send both versions to the Bilingual Liaisons for translation support. Allow up to a 3-day turnaround.
  • Once finalized, submit your Canva with the proposed caption to the Communications Chair for approval.
  • In your submission, please note where the graphic should be shared (newsletter, principal, GroupMe, Facebook, Instagram, website, marquee, etc.).
  • All shirt designs must also be approved by the Communications Chair before ordering or distribution.

Payments & Venmo

  • If you would like to use your personal Venmo account for a PTA-related expense or event, prior approval from the Treasurer is required.

Leadership Review & Support

  • If you need something reviewed or discussed by the PTA President, Vice President, or Principal, they meet weekly on Fridays at 2:00 PM.
  • You are welcome to email items for review or request to join the meeting if needed.

 


 

EXECUTIVE OFFICERS:

 

PRESIDENT:

 

Role Overview:

The PTA President provides overall leadership for the association, serving as the primary liaison between the PTA, school administration, and the broader LHE community. The President ensures that PTA initiatives align with school goals and that board members and committees are supported throughout the year.

 

Meetings & Leadership

  • Preside over all Board Meetings and General PTA Meetings.
  • Lead LHE 101 at the first General PTA Meeting.
  • Confirm that a quorum is present before conducting any official business.
  • Send meeting reminders to board members (approximately one week prior) and distribute the PowerPoint for completion.
  • Create and manage PowerPoint presentations and scripts for both Board and General meetings.

   

Board & Committee Coordination

  • Coordinate the work of all officers and committees to ensure PTA goals and purposes are carried out effectively.
  • Provide guidance and support to board members as needed.

Communication

  • Communicate with the Executive Board through meetings, email, phone, Membership Toolkit, website, and newsletter.
  • Communicate with the school community through General Meetings, Membership Toolkit, email, Efolder, website, Facebook, Instagram, and newsletters.

School & Community Relations

  • Work closely with the principal, administrators, teachers, and staff as needed.
  • Attend community board meetings as outlined in the PTA bylaws. Organization & Planning
  • Oversee updates to the PTA bylaws (next scheduled update: 2026–2027 school year).

Ongoing Commitments

  • Participate in weekly meetings with the Principal and PTA Vice President to ensure alignment and consistent communication.

 


 

1st VP-Aide:

 

Role Overview:

The 1st Vice President – Aide supports the President in the day-to-day operations of the PTA, helping ensure continuity, organization, and smooth execution of initiatives. This role serves as a key liaison between the board, administration, and committees.

 

Leadership & Support

  • Serve as back-up to the President as needed.
  • Participate in weekly meetings with the Principal and PTA President to support alignment and communication.

 

School Engagement

  • Lead and coordinate school tours for prospective families.

 

Organization & Documentation

  • Manage and organize the PTA Google Drive.
  • Create and distribute the monthly “Funds at Work” document highlighting how PTA funds are being used.

 

Events & Staff Support

  • Collect funds from board members for Staff Holiday party and coordinate with the President to plan the staff holiday party.
  • Collect funds from Board for gifts for principal and APs twice a year (Christmas & EOY)
  • Coordinate and provide STAAR testing snacks for faculty during testing weeks.

 

Recognition & Awards

  • Coordinate end-of-year recognition, including the Wildcat Award, Lifetime Award, and President’s Award, and order all awards

 


 

2nd VP - Membership:

 

Role Overview:

The 2nd Vice President – Membership is responsible for promoting PTA membership, tracking participation, and ensuring compliance with state PTA requirements. This role plays a key part in engaging families, staff, and the school community in supporting PTA initiatives.

 

Membership Promotion & Engagement

  • Promote PTA membership throughout the year and encourage family and staff participation.
  • Staff a membership table at Meet the Teacher.
  • Speak at the first General PTA Meeting to encourage membership enrollment.
  • (Optional) Develop and implement membership incentives to increase participation.

 

Membership Tracking & Reporting

  • Submit the initial PTA membership report by August 31 and a second submission by September 30.
  • Run monthly membership reports and submit updated numbers by the end of each month.
  • Ensure all board members are in good standing as PTA members.
  • Work to ensure 100% staff membership participation. State PTA Requirements
  • Submit PTA membership information and payment to the State PTA.
  • Apply for monthly PTA awards as applicable.

 

Volunteer & Fundraising Support

  • Send monthly reminders encouraging families to log volunteer hours.
  • Organize the school-wide Coin Drive, including:

                Coordinating a class incentive for the class that raises the most funds

                    Creating a Canva graphic for the Coin Drive (with Spanish translation)

                    Sending materials to all appropriate advertising and communication

                       channels

 

Records & Documentation

  • Maintain the Plan of Work (POW) documentation provided by the President and retain it until it is needed by the Reconciliation Committee in the summer.

 


 

3rd VP - Ways & means, Auction Co-Chair:

 

Role Overview:

The 3rd Vice President – Ways & Means / Auction Co-Chair leads the planning and execution of the PTA’s largest fundraiser of the year: the school-wide auction. This role oversees fundraising strategy, event logistics, sponsorships, marketing, and financial coordination to ensure a successful and well-managed event.

 

Auction Planning & Execution

  • Plan, host, and coordinate the school-wide auction.
  • Secure and manage the event venue, caterer, and DJ.
  • Develop the auction theme and obtain approval from the Principal, PTA President, and PTA Vice President prior to launch.
  • Lead the auction theme reveal.
  • Oversee auction ticket sales.

 

Fundraising & Sponsorship

  • Secure and manage event sponsors.
  • Coordinate with relevant committees to maximize fundraising opportunities.

 

Marketing & Promotion

  • Oversee advertising and promotion of the auction in collaboration with the Communications Chair, following PTA communication guidelines.

 

Financial Coordination

  • Provide a monthly ticket sales export to the Treasurer to support timely reconciliation and closing of books.

Donor Stewardship

  • Ensure thank-you notes are sent to all sponsors and donors following the event.

 

Leadership & Communication

  • Attend monthly check-in meetings with the Principal, PTA President, and PTA Vice President to provide updates and ensure alignment.

 


 

 

Secretary:

 

Role Overview:

The Secretary is responsible for maintaining accurate and timely records of PTA meetings, ensuring official documentation is properly approved, translated, and shared in compliance with PTA requirements.

 

Meeting Documentation

  • Record minutes for all Board and General PTA Meetings.
  • If unable to attend a meeting, ensure another board member is designated to record minutes.

 

Approval & Translation

  • Obtain approval of meeting minutes from three board members prior to publication.
  • Submit approved minutes to the Bilingual Liaison for Spanish translation.

 

Distribution & Recordkeeping

  • Upload approved meeting minutes (both English and Spanish) to Membership Toolkit within 7 calendar days of the meeting date.

 


 

 

Treasurer:

 

Role Overview:

The Treasurer is responsible for managing all financial affairs of the PTA, ensuring accurate reporting, compliance with state and federal requirements, and transparency for the board and general membership.

 

Financial Management & Reporting

  • Manage PTA bank accounts and issue checks as needed.
  • Reconcile all PTA accounts regularly.
  • Prepare and present budget and financial reports at each Board and General PTA Meeting.
  • Propose budget amendments to the board as needed.

 

Compliance & Tax Responsibilities

  • File the annual Form 990 during the summer.
  • Issue required 1099 forms.
  • Complete quarterly sales tax filings.
  • Complete quarterly tax filings as required.

 

Documentation & Coordination

  • Receive and utilize financial and reporting information provided by the 1st Vice President – Aide
  • Maintain organized financial records for audit and reporting purposes.

Oversight & Reconciliation

  • Organize and oversee the Financial Reconciliation Committee.
  • Support the reconciliation process to ensure financial accuracy and compliance at year-end.

 


 

Parliamentarian:

 

Role Overview:

The Parliamentarian serves as an advisor to the President and Board, providing guidance on PTA bylaws, procedures, and governance while helping set a thoughtful and positive tone for board leadership.

 

Advisory & Governance Support

  • Advise the PTA President on parliamentary procedure, bylaws, and governance as needed.
  • Provide guidance and support to the Nominating Committee during board elections and transitions.

 

Bylaws Oversight

  • Oversee updates to the PTA bylaws as needed. (due 2026-2027)
  • Chair the Bylaws Review Committee when deemed necessary by the President.

 

Board Culture & Inspiration

  • Help inspire and encourage the board by sharing thoughtful inspiration or reflection quotes during meetings to foster connection, perspective, and purpose.

 


 

STANDING COMMITTEE CHAIRMEN

 

Auction Co-Chairs:

 

Role Overview:

The Auction Co-Chair supports the Auction Chair in planning and executing the school-wide auction. This role assists with logistics, coordination, and communication as needed to ensure the success of the PTA’s largest fundraiser.

 


 

Bilingual Liaison:

 

Role Overview:

The Bilingual Liaison supports inclusive communication across the school community by providing timely translations and ensuring appropriate language access is available for PTA meetings, events, and communications.

 

Translation & Communication Support

  • Translate PTA correspondence, including Canva graphics, social media posts, and written communications, with an expected 3-day turnaround.
  • Translate Board and General Meeting minutes for Membership Toolkit and return completed translations to the Secretary for posting.

 

Meeting & Event Accessibility

 

Proactively remind the PTA President and Principal of available translation devices and language services for key events, including but not limited to:

Book Fair:

 

Role Overview:

 

The Book Fair Chair plans and oversees the successful execution of both the Fall and Spring Book Fairs, promoting literacy while ensuring smooth operations, accurate financial reconciliation, and effective communication.

 

Planning & Scheduling

  • Schedule Fall and Spring Book Fair dates, with approval from the Principal and PTA President.
  • Coordinate and schedule two Grandparents Days during each Book Fair.

Marketing & Communication

  • Create Canva graphics for the Book Fair and Grandparents Days (translated into Spanish).
  • Submit materials to all appropriate advertising and communication channels in coordination with the Communications Chair.

 

Volunteers & Logistics

  • Recruit and manage volunteers for Book Fair shifts.
  • Coordinate set-up and tear-down with the Dad’s Club.

 

Financial Oversight

  • Complete daily reconciliation of Book Fair funds during Book Fair week.
  • Confirm that payment has been received from Scholastic following each Book Fair.

 

 

Citizenship & Legislation:

 

Role Overview:

 

The Citizenship & Legislation Chair keeps the PTA Board informed about local and state legislative matters, elections, and district-level governance that may impact RISD families, while ensuring communication remains informational and nonpartisan.

 

Legislative & Civic Awareness

  • Inform board members of local and state elections and legislative activity relevant to RISD families through the PTA newsletter.
  • Share nonpartisan information to support informed civic engagement.

 

District & Council Monitoring

 

  • Attend RISD Board of Trustees meetings, or review meeting minutes, and share relevant updates with the PTA Board.
  • Review RISD Council of PTA meeting minutes and provide summaries or key takeaways to the Board.

 

 

Clothes Closet:

 

Role Overview:

The Clothes Closet Chair oversees the operation and support of the LHE Clothes Closet, helping ensure students and families have access to needed clothing while coordinating volunteers and communication throughout the school year.

 

Program Coordination

  • Attend District beginning-of-year meetings related to the Clothes Closet.
  • Oversee ongoing organization and maintenance of the LHE Clothes Closet.

 

Communication & Promotion

  • Create Canva graphics to promote the Clothes Closet (translated into Spanish).
  • Share materials with all appropriate advertising and communication channels in coordination with the Communications Chair.

 

Volunteers & Operations

  • Schedule and manage volunteers to staff the LHE Clothes Closet in shifts.

 

Donations & Distribution

  • Advertise and coordinate Lost & Found collection at the end of each semester.
  • Donate unclaimed items to appropriate organizations or redistribute as needed.

 


 

Community Outreach:

 

Role Overview:

The Community Outreach Chair builds connections between the school, families, and local businesses to support LHE students and foster community engagement through outreach initiatives and partnerships.

 

Community Partnerships

  • Plan and coordinate Spirit Nights with local retailers and restaurants, typically aligned with General PTA Meeting days.

 

Marketing & Communication

  • Create Canva graphics for each Spirit Night (translated into Spanish).
  • Distribute materials through all appropriate advertising and communication channels in coordination with the Communications Chair.

 

Student & Family Support

  • Coordinate with the School Counselor regarding student needs (school supplies, clothing, etc.).
  • Communicate with Grade Level Chairs to help identify and support student and family needs.
  • Refer families needing meals during school breaks to appropriate RISD resources.

 

 

Cultural Programs:

 

Role Overview:

The Cultural Programs Chair partners with school staff to celebrate diversity, promote inclusion, and coordinate cultural and educational programming that reflects and supports the LHE community throughout the school year.

 

Program Planning & Collaboration

  • Work closely with the Liaison to plan and celebrate heritage months and schedule cultural programs for the full school year.

 

School & Community Events

  • Coordinate the Veterans Day Program in collaboration with the Staff Liaison.
  • Plan and coordinate school-day programming in conjunction with STEAM Night and Literacy Night.

 

Marketing & Communication

  • Create Canva graphics for the Veterans Day Program and STEAM Night (translated into Spanish).
  • Share materials with all appropriate advertising and communication channels in coordination with the Communications Chair.

 

 

Wee Wildcats:

 

Role Overview:

The Wee Wildcats Chair plans and coordinates a series of events designed to welcome incoming families and prepare them for a successful transition to Lake Highlands Elementary.

 

Program Planning & Coordination

  • Plan and host three Wee Wildcats sessions each school year, with the final session including LHE 101. 
  • Coordinate with school staff to schedule and support guest speakers.
  • Assist with event setup for each session.

 

Volunteers & Logistics

  • Schedule and manage volunteers to support check-in and campus tours for the first Wee Wildcats session.

 

Materials & Recognition

  • Create goody bags and welcome folders for participating families.
  • Organize the final Wee Wildcats session, including graduation slideshow, treats, and diplomas.

 

Marketing & Communication

  • Create Canva graphics for each Wee Wildcats session (translated into Spanish).
  • Share materials with all appropriate advertising and communication channels in coordination with the Communications Chair.

 

Family Communication & Follow-Up

  • Send wrap-up emails following sessions with information on: Student registration, joining PTA, Grade-level GroupMe and Facebook groups
  • Send periodic summer emails with updates on school supplies and One-Stop-Shop information.

 

 

Environmental/Grounds:

 

Role Overview:

The Environmental / Grounds Chair supports the care and upkeep of LHE outdoor spaces while engaging the school community in campus beautification and environmental stewardship throughout the year.

 

Summer Responsibilities

  • Oversee courtyard cleanup and preparation prior to the start of the school year.
  • Coordinate building access with principal as needed for summer work.

 

Campus Care & Clean-Ups

  • Coordinate two LHE grounds clean-up events per semester and recruit volunteers.
  • Maintain the LHE courtyard throughout the school year.

 

Environmental Programming

  • Coordinate and support a school-wide Earth Day event to promote environmental awareness.

 

Marketing & Communication

  • Create Canva graphics to promote clean-up events (translated into Spanish).
  • Share materials with all appropriate advertising and communication channels in coordination with the Communications Chair.

 

 

Fine Arts Liaison/Reflections:

 

Role Overview:

The Fine Arts Liaison / Reflections Chair supports fine arts programming at LHE while coordinating the school’s participation in the RISD Reflections program, encouraging student creativity and artistic expression.

 

Fine Arts Support

  • Coordinate with Art and Music teachers to assist with classroom or program needs throughout the year.

 

Reflections Program Coordination

  • Attend the RISD Reflections meeting in August and share key information with the PTA Board.
  • Coordinate and manage the LHE Reflections contest.
  • Work with the Art teacher to provide opportunities for students to work on Reflections entries during art class.

 

Recognition & Celebration

  • Coordinate recognition of Reflections award recipients at STEAM Night, the General PTA Meeting, or other appropriate venues.
  • Communicate directly with parents regarding student awards and recognitions.
  • Promote Reflections winners to build excitement and awareness for participation in future years.

 

Marketing & Communication

  • Create Canva graphics for the LHE Reflections program (translated into Spanish).
  • Share materials with all appropriate advertising and communication channels in coordination with the Communications Chair.

 

Health & PE Liaison:

 

Role Overview:

The Health & PE Liaison supports health, wellness, and physical education initiatives at LHE by partnering with school staff to promote healthy habits and celebrate key wellness-related events throughout the school year.

 

Health & Wellness Programming

  • Coordinate with the School Counselor to plan and support Red Ribbon Week, including determining themed days.
  • Coordinate and recognize the school nurse for National Nurse’s Day.

 

Physical Education Support

  • Communicate regularly with Coach T throughout the year to assist with PE-related needs and events.

 

Marketing & Communication

  • Create Canva graphics for Red Ribbon Week, Turkey Trot, and Field Day (translated into Spanish).
  • Share materials with all appropriate advertising and communication channels in coordination with the Communications Chair.

 


 

Hospitality:

 

Role Overview:

The Hospitality Chair supports and celebrates LHE teachers and staff throughout the school year by coordinating meals, treats, and appreciation events that foster morale and community.

 

Back-to-School Support

  • Coordinate treats for new teachers during Welcome Week (approximately two weeks before school starts).
  • Arrange a meal and/or treat for teachers during the week before school begins (examples include gift cards, Sonic drinks, or coffee).
  • Coordinate and facilitate the Tears & Cheers Breakfast on the first day of school (8:00–9:00 AM on the Primary Playground).
  • Create and submit a Canva graphic for Tears & Cheers (translated into Spanish) and distribute through appropriate communication channels.

 

Ongoing Teacher Support

  • Coordinate a monthly lunch for teachers, working with families to provide donated meals.
  • Stock staff bathrooms with essential supplies throughout the year.
  • Coordinate teacher coverage/substitutes as needed to allow for extended lunches during special events.

 

Staff Appreciation & Recognition

  • Plan and coordinate the Staff Holiday Lunch in December, including a small treat or gift.
  • Organize Teacher Appreciation Week, including:

                  ●  A treat or experience for each day of the week (e.g., massage chairs, Sonic drinks, meals, or treats)

                  ● Coordinating teacher coverage/substitutes for extended lunches

  • Plan and coordinate a staff lunch in May, including a small treat or gift.
  • Coordinate two staff gifts each year:

                   ● One during Thanksgiving or Christmas

                   ● One during Valentine’s Week (“We Love Our Teachers”)

 


Library:

 

Role Overview:

The Library Chair partners with the school librarian to support library operations, encourage volunteer involvement, and promote literacy-related activities throughout the school year.

 

Library Support & Coordination

  • Coordinate with the school librarian to assess and support ongoing library needs.
  • Schedule and support Library Orientation for students and families.

 

Volunteers & Operations

  • Recruit and schedule library volunteers to assist the librarian 2–3 times per week for 1–2 hour shifts (tasks may include shelving, organizing, and general support).

 

Marketing & Communication

  • Create Canva graphics for Library Orientation and Library Volunteer Help (translated into Spanish).
  • Distribute materials through all appropriate advertising and communication channels in coordination with the Communications Chair.
  • Coordinate messaging related to library needs or events for the school marquee as appropriate.

 

Recognition & Appreciation 

  • Coordinate lunch and treats for the librarian in recognition of National Librarian Day

 

 

Marquee:

 

Role Overview:

The Marquee Chair manages and updates the school marquee to highlight key PTA and school information, celebrate students and staff, and promote paid advertisements in a timely and consistent manner.

 

Marquee Content & Updates

  • Update the school marquee weekly (typically on Sundays) in both English and Spanish.
  • Feature weekly staff birthdays and weekly student birthdays.
  • Promote upcoming PTA and school events.

 

Recognition & Coordination

  • Coordinate with the Principal to feature Teacher of the Month on the marquee.

 

Advertising & Sales

  • Reference and post paid marquee advertisements as sold through Membership Toolkit.
  • Create Canva graphics to promote marquee sales (translated into Spanish).
  • Share promotional materials with all appropriate advertising and communication channels in coordination with the Communications Chair.

 

Membership Toolkit:

 

Role Overview:

The Membership Toolkit Chair manages and maintains the PTA’s Membership Toolkit platform, supporting forms, sales, reporting, and data accuracy to ensure smooth operations and effective communication across the PTA.

 

Forms & Sales Management

  • Create information and sales forms and/or store SKUs as requested by PTA chairs.
  • Solicit and confirm required information, fields, and details needed for each form or SKU.
  • Create and manage store SKUs within Membership Toolkit.
  • Verify the correct Chart of Accounts for each SKU in collaboration with the PTA Treasurer.

 

Reporting & Data Coordination

  • Schedule and distribute sales data and reports to appropriate chairs as needed.
  • Coordinate with the Membership Chair to support PTA membership growth through Membership Toolkit forms and processes.

 

Platform Management & Training

  • Work with the Website Chair and Newsletter Chair to ensure all Membership Toolkit information is accurate and up to date.
  • Provide training and support to PTA board members as needed on Membership Toolkit functionality.

 

Data Maintenance

  • Maintain and update contacts and group information, including (but not limited to) custom fields, student grade levels, and staff lists.

 

Annual Coordination

  • Coordinate One Stop Shop sales for the upcoming school year.

 


 

Newsletter:

 

Role Overview:

The Newsletter Chair keeps the school community informed by publishing a consistent, engaging weekly PTA newsletter.

 

Newsletter Responsibilities

  • Publish a weekly newsletter to PTA members.
  • Include the monthly calendar and relevant PTA and school updates in each issue.

 


 

Room Parent Rep:

 

Role Overview:

The Room Parent Representative serves as the liaison between classroom room parents, grade-level chairs, and the PTA, ensuring clear communication, consistent classroom celebrations, and strong family engagement throughout the school year.

 

Room Parent Coordination

  • Host a beginning-of-year meeting and orientation for all room parents.
  • Ensure room parents are identified and announced by September 1.
  • Develop and distribute an electronic sign-up for room parents for each class (including a QR code posted in each classroom).

 

Communication & Resources

  • Collect Teacher Favorites and coordinate with the Website Chair to ensure they are uploaded and accessible.
  • Create and distribute a weekly communication template (in English and Spanish) for room parents and grade-level chairs to share with families as needed.

 

Class Parties & Events

  • Coordinate with Grade Level Chairs to organize classroom parties.
  • Confirm planning and execution of Winter Holiday and Valentine’s Day class parties.
  • Create Canva graphics for class parties (translated into Spanish) and distribute through appropriate communication channels.
  • Support grade-level sign-ups for party needs and volunteers.

 

SAGE Representative:

 

Role Overview:

The SAGE Representative serves as a liaison between the PTA, RISD SAGE (Special and Gifted Education), and LHE families, helping share information, resources, and support related to advanced academics and special education services.

 

District & SAGE Engagement

Attend RISD PTA SAGE meetings and share relevant updates with the PTA Board.

Join and monitor the SAGE RISD – Richardson ISD Special and Gifted Education PTA Facebook Group to stay informed and share timely information with the board.

 

Family Education & Support

  • Educate families about the GT referral window and related processes.
  • Support communication between families and district departments as needed.

 

School & Program Collaboration

  • Work with Advanced Academics, Special Education, and Dyslexia departments to understand needs and help communicate resources or opportunities to families.

 

Spirit Wear:

 

Role Overview:

The Spirit Wear Chair designs, coordinates, and manages the sale and distribution of LHE spirit wear, ensuring every student has access to grade-level apparel and the broader community can purchase school spirit items throughout the year.

 

Grade-Level Shirts

  • Design grade-level shirts for all students.
  • Coordinate with Membership Toolkit / One-Stop Shop to collect shirt sizes for each child.
  • Ensure parents provide permission via Membership Toolkit for their child’s shirt size to be shared. 
  • Distribute grade-level shirts in August.
  • Ensure each student has a grade-level shirt throughout the year (PTA provides shirts for all students).

 

Spirit Wear Design & Sales

  • Design Paws Pack shirts.
  • Design, sell, and distribute spirit wear to the LHE community.
  • Schedule and manage two Spirit Wear releases during the school year (including at least one in the fall). Coordinate One-Stop Shop spirit wear sales, with the option to reopen in the fall if needed. Distribution & Events
  • Distribute spirit wear purchased through One-Stop Shop at Meet the Teacher.
  • Sell any leftover spirit wear at Meet the Teacher or other approved events.

 

Marketing & Communication

  • Create Canva graphics for all spirit wear launches (translated into Spanish).
  • Share promotional materials through all appropriate advertising and communication channels in coordination with the Communications Chair.

 

School Supplies:

The School Supplies Chair coordinates the planning, ordering, and distribution of school supplies to support students, families, and teachers, ensuring a smooth and organized start to each school year.

 

Planning & Coordination

  • Coordinate with the Principal during the spring prior to the new school year to determine class supply lists for each grade level.
  • Work with the school supplies vendor to organize supply packages.

 

Sales & Distribution

  • Coordinate with the Membership Toolkit Chair to create the school supplies sales form.
  • Distribute school supplies prior to Meet the Teacher Night.
  • Lead a booth/table at Meet the Teacher Night to sell additional items (such as planners).

 

Marketing & Communication

  • Create Canva graphics to promote school supplies sales (translated into Spanish).

The Social Media Chair manages PTA-related content on social media platforms, helping promote events, share information, and highlight the LHE community in a timely and engaging way.

  • Post all approved PTA Canva graphics and advertisements to: Facebook Grade-Level Pages, GroupMe Grade-Level Pages, Instagram
  • Share photos from PTA events on Instagram to highlight school involvement and community engagement.

 

Staff Liaison:

 

Role Overview:

The Staff Liaison serves as a bridge between LHE staff and the PTA, helping facilitate communication, participation, and support for staff-related initiatives and events.

 

Staff Engagement & Support

  • Encourage and ensure all staff members are registered members of the LHE PTA.
  • Remind staff to submit teacher supply reimbursement forms to the PTA, including distributing the reimbursement form via email as needed.

 

Event Coordination

  • Coordinate with 5th Grade Activities Chairs to support the Kickball vs. Wallace game, including: Scheduling practices, Collecting t-shirt sizes, Confirming staff rosters
  • Coordinate with Auction Chairs to manage teacher tickets for the auction.

The Website Chair manages and maintains the LHE PTA website, ensuring information is accurate, current, and easily accessible for families and members.

  • Set up and manage Sign’n’Go listings in Silent Auction Pro.

  • Plan and coordinate social events for dads throughout the school year.

 

School & Community Events

  • Coordinate and facilitate the Fall Family Picnic.
  • Coordinate and facilitate Muffins in the Morning.
  • Organize and lead door greeters for select school events.
  • Place and collect First Day of School signage (using an approved location list). Order new ones for 2026-2027 school year.

 

Campus Support

  • Coordinate with the Principal and PTA President to identify and support recess and grade-level equipment needs.
  • Update the back marquee monthly with Dad’s Club–related messaging as appropriate.

 

Athletics & Fundraising Support

  • Support the Fall Kickball game by providing a coach, assistant coach, and umpire for LHE staff.
  • Participate in, promote, and help create teams for the Spring Cornhole Competition.

  • Send monthly email reminders to participating families with encouragement and ideas for staff appreciation.
  • Coordinate and support families in gifting their “adopted” staff member a small, thoughtful item each month.

 

End-of-Year Recognition

  • Organize, plan, and oversee the Staff Appreciation “Reveal” Breakfast in May, where staff members learn which family adopted them.

 

Collaboration & Support

  • Support the Hospitality Chair during Teacher Appreciation Week as needed.

  • Plan and coordinate the Sky Ranch Kick-Off Party and Check-Signing Campaign, open to all 4th grade families.
  • Determine the Fall Picnic date in the spring of the previous school year.
  • Plan and coordinate a Color Run or other school-wide event, including:

                         ● Scheduling the event with the Principal and PTA President

                         ● Coordinating shirts, accessories, sponsorships, volunteers, concessions, PA system, and color logistics

 

Fundraising & Budget Management

  • Organize and manage fundraising events throughout the year (e.g., Valentine’s Grams).
  • Manage the 4th grade budget and obtain approval for expenditures from the PTA President and Principal.

 

Field Day Support

  • Coordinate Field Day concessions.

 

Marketing & Communication

  • Create Canva graphics for the Sky Ranch Kick-Off Party, Color Run, and Field Day concessions (translated into Spanish).

5th Grade Representative & Vice Representative:

 

Role Overview:

 

The 5th Grade Representative coordinates grade-level programming, fundraising, events, and traditions that support 5th grade students throughout their final year at LHE, including Sky Ranch, Kickball, graduation, and end-of-year celebrations.

 

Sky Ranch Coordination

  • Coordinate Sky Ranch payments by formally requesting payment from families in May, August, and September, working with the Membership Toolkit Chair to add Sky Ranch to One-Stop Shop.
  • Work with the School Counselor to identify and support families requiring PTA scholarships for Sky Ranch.
  • Organize and communicate parent chaperone sign-ups for Sky Ranch.

 

Kickball Program

  • Create and manage a Kickball Committee.
  • Coordinate with Wallace Elementary to schedule the annual Kickball game (held at Wallace for Fall 2026).
  • Organize Kickball logistics, including:

           ● Kickball cards (student photos taken the week before school and during

                  Meet the Teacher, card design, printing, and sales)

             ● Volunteer coordination

             ● Concessions

             ● Coordinate with Dad’s Club to secure a coach, assistant coach, and umpire for the LHE staff team.

             ● Donate a full set of Kickball cards to the Auction Committee.

 

Service, Leadership & Traditions

  • Organize a 5th Grade Service Project.
  • Coordinate the 5th Grade Yearbook Committee.
  • Organize and communicate Cotillion information, including identifying a chair to organize cotillion dinners.

 

End-of-Year Events & Graduation

  • Create a Committee to plan and coordinate end-of-year activities (Fun Fridays, field trips, etc.).
  • Coordinate 5th Grade Graduation at LHHS, including:

        ● Scheduling the graduation date in May for the following school year

          ● Planning diplomas, ceremony programs, photo booths, student treats, and ceremony script

          ● Scheduling a graduation rehearsal at LHE with the PTA President and Principal

  • Organize teacher gifts and a legacy gift from the 5th grade class.
  • Coordinate 5th Grade Field Day.

Communication & Marketing

  • Create Canva graphics for all 5th grade events (translated into Spanish).
  • Share materials through all appropriate advertising and communication channels in coordination with the Communications Chair.
  • Create a daily Canva series for the final week of school, highlighting daily details and reminders.

 

Budget & Oversight

  • Manage the 5th grade budget and obtain approval for expenditures from the PTA President and Principal.

 

 

Senior Breakfast Liaison:

 

Role Overview:

The Senior Breakfast Liaison coordinates the annual Senior Breakfast, celebrating graduating seniors who attended Lake Highlands Elementary, while serving as a point of connection between LHE, LHHS, and the Exchange Club scholarship program.

 

Senior Breakfast Planning & Coordination

  • Coordinate the Senior Breakfast date with the Principal.
  • Identify and work closely with a senior parent (typically the former 5th Grade Chair from the graduating class).
  • Plan and coordinate all aspects of the Senior Breakfast, including food, event logistics, and volunteers.
  • Create a slideshow to be shared during the Senior Breakfast.

Marketing & Communication

  • Create Canva graphics to promote the Senior Breakfast (translated into Spanish).
  • Share materials through all appropriate advertising and communication channels in coordination with the Communications Chair.

Scholarship Communication

  • Communicate with Lake Highlands High School regarding the LHE Alumni Scholarship offered through the Exchange Club.
  • Coordinate directly with the Exchange Club regarding the PTA-funded scholarships.

 

Yearbook Chair:

 

Role Overview:

The Yearbook Chair oversees the creation, promotion, and production of the LHE yearbook, ensuring all students, staff, and school activities are accurately represented while coordinating communication, photography, and sales.

 

Planning & Coordination

  • Create and manage a Yearbook Committee to support photography, layout, and organization.
  • Obtain and maintain the school roster of students and staff.
  • Identify and confirm official school clubs and special interest groups to be included in the yearbook.
  • Contact the school’s photo representative to gain access to the yearbook portal and related tools.
  • Determine whether a signed parent permission form is required for printing student photos.

 

Photography & Content Collection

  • Coordinate and/or take photos of PreK–5th grade students at school-wide events.
  • Gather school photos and class photos for all students and grade levels.

 

Sales, Pricing & Communication

  • Determine yearbook pricing.
  • Promote yearbook sales across all LHE social media platforms.
  • Clearly communicate the difference between the school-wide yearbook and the 5th grade yearbook.
  • Manage yearbook-related communication via LHEyearbook@yahoo.com.

Role Overview:

The PAWS Pack Chair supports positive student behavior and school culture by coordinating incentives and assemblies in partnership with campus administration and the PBIS team.

  • Work with the Assistant Principal to plan and schedule PAWS Pack assemblies. 
  • Attend PAWS Pack assemblies (typically four per year).

Student Incentives

  • Solicit and purchase campus needs and student incentives that support PBIS goals and positive behavior reinforcement.

 

Collaboration

  • Collaborate with the PBIS Team to identify school needs and align incentives with campus initiatives.

 


 

Talent Show:

 

Role Overview:

The Talent Show Chair plans and coordinates the annual LHE Talent Show, overseeing theme development, auditions, rehearsals, and event logistics to create a fun, inclusive, and well-organized experience for students and staff.

 

Planning & Coordination 

  • Develop the Talent Show theme and obtain approval from the Principal and PTA President.
  • Coordinate the Talent Show date with LHHS and sign/adhere to the required contract.

 

Auditions & Performances

  • Publicize auditions for student acts and emcees.
  • Plan the Talent Show script and schedule practice dates for emcees.
  • Coordinate a boys’ and girls’ act for each grade level.
  • Plan a teacher act and schedule practice dates.

 

Logistics & Operations

  • Coordinate with the Principal to secure building use for rehearsals and practices.
  • Create and manage a Talent Show committee, including backstage crew and props coordination.

 

Marketing & Communication
